Job Description

The Focus of the Role: » Consistent Service » Increase ESS group/catering service scores » Assist to help Event Managers with floor coverage for in-house groups & weddings » Liaise with all Operations Departments for a seamless group attendee experience » Reports to Director of Catering & Event Management » The Executive Meeting Specialist is scheduled based on activity. Because of the visibility and accessibility factors, complete coverage by an Executive Meeting Specialist is essential. This means they are “on the floor” shortly before and after customer’s program begins, & during the functions. » The Executive Meeting Specialist is assigned either to the Meeting Professional of a large group OR to locations of high activity, making sure all groups in house are being properly attended to. Similarly, the EMS liaises with wedding planners and brides to provide high-touch social service as a Bridal Concierge for day-of wedding coordination. » This position requires flexible scheduling based on business demands, as well as cross-utilization in different capacities during slow periods (i.e. cover vacations for CSM’s, assign project work, etc.) Visible: to the Meeting Professional and their attendees, spending 90% of their time on floor Accessible: in person and via phone/walkie-talkie to MEM, on-site contact, & Banquets. Roaming: meeting/public space, prior to, during and after events proactively searching for problems to fix or simply creating multiple/continuous customer touch points Troubleshooting: and resolving any/all meeting planner issues quickly Facilitator: of last minute changes/issues with operational departments based on client revisions and/or pop-up last-minute requests Empowered: to make decisions on the spot in tandem with Banquet Captain Executive Meeting Specialist must function as a true extension of the CSM, visible and noticeable to attendees . » EMS is scheduled based on group & wedding business » Ensure visibility and accessibility, complete coverage is essential » EMS should be scheduled both before and after the customer’s program » Banquet Captain and EMS staffing are complimentary of one another Daily Task Sheet » Identifies Action Items required during shift & communicates with Banquet Captain & Catering Director Shift Recap Email » Extremely important and must be sent to the Event Director after each working shift Pre‐Shift Meeting » EMS to attend all Banquet pre-event shift meetings and line-ups & share pertinent insider Catering planning information with Banqueting service team to provide intuitive W brand service. Daily Function Board Inspection » First thing in AM and every time the electronic board shifts to new time period, EMS should inspect post-as for booking display accuracy Meeting Cleanliness Inspection » Walk meeting space pre & post Houseman set-up to ensure all BEO details are executed during set-up phase. Pro‐Active worksheet » Review this and implement all items needing attention (ie – repairs/defects, client requests, room set-ups, etc.) Room WOW » Coordinate and Implement with input and direction from Engineering and Style. Ensure rooms are in prime working WOW shape. » Cleaning items need to be addressed » All Problems and Problem resolution must use the WOW process. EMS to go above & beyond for high-touch personalized client service. » Review WOW service recovery immediately, to win back any group opportunities encountered. Additionally, the EMS will be expected to: » Audit BEO packets to create and disperse: Discounted WHEELS parking tickets, hosted drink vouchers, Tasting Menu Card Creation, Compose and place banqueting event signage throughout appropriate public spaces, & “reserved” signs on as-needed basis. » Place & drop outside client collateral for meetings / weddings on tables and display areas » Act as “human directional” during transition periods of group movements (arrivals, commencements) to greet & guide guests to designated event spaces. Man lifts/elevators to guide attendees up to guestroom floors for suite meetings, as appropriate. Pre-screening Hours: No Appointments Necessary Must submit application online prior to attending a pre-screening. Tuesday, 2pm-4pm & Thursday, 10am-12pm Parking meters available, Valet parking will NOT be validated

Requirements

Previous Hospitality experience preferred. Must be able to speak, read, write and understand the primary language(s) used in the workplace.
